Administrative Assistant

Manages administrative/training folders on all Telehealth personnel, ensuring that license, proficiencies, orientation checklists, boards, performance appraisals and continuing education materials are filed and current. Develops and maintains a spreadsheet tracking system for proficiencies and board actions, following each step of the process with reminders to key individuals. Ensures the proficiency, TMS, competencies, criteria-based function statement and/or scope of practice is complete and included with the Official Personnel Folders for presentation to the Professional Standards Board. Prepares resources and tracks resources request and assures timely submission to the board. In addition, ensures that Title 5 employees who receive a performance appraisal are issued plans, interims and annual appraisals in a timely manner. Manages the Telehealth Services Personnel database. Ensures database is kept current for purposes of retrieving names, EOD dates, units, grades, steps, discipline and social security numbers. Database is used for specific statistical queries on regular recurring basis. Queries are made to satisfy requests from VA Headquarters, VISN, facility and other non-VA Health Organizational entities. Serves as the lead timekeeper for Telehealth Services. Delegates timekeeping duties to other MSA staff when on leave. Incumbent is responsible for ensuring accuracy and timely submission of all timecards and corrected timecards. Responsible for ensuring travel arrangements are accurately prepared in a timely manner, to include most cost-effective mode of transportation, making reservations, planning itineraries, coordinating with point of contact at TDY site, and preparing travel voucher upon completion of travel. You must have one year of specialized experience equivalent to at least the next lower grade GS 5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Incumbent has a comprehensive knowledge of the duties, commitments, goals, and priorities of the Telehealth Program, and the inter-relationships between programs with the medical center. Comprehensive knowledge of the Telehealth Director's views on issues affecting the program is required. Considerable knowledge of the function of clinical and administrative services of the Medical Center is necessary in order to coordinate the many activities of the office. Incumbent must have good working knowledge of medical terminology and ability to review charts and abstract relevant information and basic medical environment familiarity is required to conduct the daily activities of the office with the ability to prepare correspondence and gather data for reports. Knowledge of correspondence procedures enough to screen material prior to distribution for suspense dates, and to establish controls to ensure that deadlines are met, is required. Comprehensive knowledge of office procedures, filing systems, and various reference and handbooks commonly used by the staff in order to classify, search for, and dispose of materials is required. A comprehensive knowledge of scheduling, patient information menus and clinic processes are required. Knowledge of complex electronic mail system to transmit, receive, and acknowledge messages is required. Knowledge and proficiency of word processing and spreadsheet software is required. Skill in operating a personal computer, fax machine, dictation equipment and/or related equipment, e.g. printers, scanners, telephone systems, etc. is required. Knowledge of computer software sufficient to:
Use MS Word or comparable word processing software to execute several office automation functions such as storing and retrieving electronic documents and files; activating printers; inserting and deleting text; formatting letters, reports and memoranda; and transmitting and receiving email. Use MS Excel or other comparable spreadsheet software to develop and change spreadsheets to graphically display data. Use MS PowerPoint or other comparable graphics software to develop presentation materials. The work is sedentary. Typically, the employee sits comfortably to do the work. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
