Preferably, the person for this role will have some background in HOA portfolio or property management experience, is client centric, an effective problem solver, and enjoys building relationships.
The ideal candidate is proactive, organized, and leads with professionalism and humility.
Please note, this position is in Gilbert, Arizona.
Duties and Responsibilities Respond to phone calls and emails.
Assist homeowners, board members, vendors, and inter-office personnel by returning phone calls and emails the same day they are received.
Create a phone log for all calls and emails.
Create and process professional level community mailings and newsletters.
Data entry and electronic filing of homeowner correspondence, association documents, vendor, and manager reports.
Be proficient with all the Governing Documents including but not limited to the CC&Rs, Plat Maps, Guidelines, and Bylaws to properly guide/assist residents.
Enter and process work orders and purchase orders to vendors and follow up as needed.
Review Action Items daily, ensure completion of action items by due date.
Assist Community Manager with coordination and oversight with the maintenance and oversight of common areas.
Organize community property (keys, remotes, gate entry cards, parking passes, signs, etc.
) and distribute, as necessary.
Program remotes and fobs as requested.
Assist social committee in the development, preparation, and execution of community events.
Providing event activity ideas for all ages, may require attending Saturday and evening events.
Maintain calendar/schedule for community clubhouse and rented common areas.
Process and organize homeowner request for the clubhouse (provide forms, receive deposit, provide access, and return deposit) Evaluate the success of the events with the community manager and members of the social committee.
Assist in meeting room set up.
Attend board, annual, and committee meetings and prepare accurate meeting minutes in a timely manner.
Perform other duties as assigned.
Skills Three to five years of experience in an administrative role.
Excellent customer service, verbal, and written communication skills.
Able to professionally communicate with diverse audiences.
Computer and Information Systems skills, email, calendar.
Ability to establish and maintain positive and effective working relationships with other employees, the client, and the public.
Ability to maintain privileged confidential information.
Ability to work independently and meet strict timelines.
Strong organization and time management skills Community event planning experience preferred.
